This Privacy Policy describes how TurfTime FMS ("TurfTime," "we," "our," or "us") collects, uses, and shares information when you use our website and field-scheduling service (the "Service").
We've tried to write this in plain language. If anything is unclear, email us at info@turftimefms.com and we'll explain.
The short version
- • We collect what we need to run the Service for your club — and not much else.
- • We don't store information about kids or parent rosters.
- • We don't sell your data. We don't run advertising on it.
- • Your data is yours. You can export it or delete your account anytime.
1. Information we collect
Information you give us
- Account information. Your name, email address, club name, and password.
- Club content. Fields, parks, permits, schedules, games, practices, and the names and contact info of the adults you invite to your club (coaches, admins, team managers).
- Payment information. Billing is handled by Stripe. We never see your card number — we only receive a confirmation that payment succeeded, the subscription tier, and basic billing metadata.
- Communications. Anything you send us through the contact form, by email, or in a support conversation.
Information we collect automatically
- Usage data. Pages viewed, features used, error logs, and timestamps. We use this to keep the Service working and to fix problems.
- Device and connection data. Browser type, operating system, IP address, and approximate location (city / region only) — collected by our hosting and logging providers.
Information we do not collect
- No information about children. TurfTime does not collect or store names, ages, addresses, photos, or any other information about minors.
- No parent rosters. Coaches and parents view schedules through their own calendars and team apps; TurfTime does not maintain a list of them.
- No advertising data. We do not track you across the web. We do not sell or rent your information.
2. How we use information
We use the information we collect to:
- Provide, maintain, and improve the Service.
- Authenticate users and protect against fraud or abuse.
- Send transactional notifications (password resets, schedule changes, billing receipts).
- Respond to support requests and feedback.
- Comply with legal obligations.
We do not use your information for advertising, profiling, or any purpose unrelated to running the Service.
3. How we share information
We share your information only in these limited cases:
- Service providers (subprocessors). We rely on a small set of trusted services to run TurfTime: Microsoft Azure (hosting and database), Stripe (billing and payments), and Google Workspace (email and transactional notifications). These providers may process your data on our behalf, under contractual obligations to keep it confidential. The current list is published on our Security & privacy page.
- Within your club. Other admins you invite to your club can see the data you put into TurfTime.
- Legal compliance. If we receive a valid legal request (subpoena, court order), we will comply only to the extent required and notify you when permitted by law.
- Business transfers. If TurfTime is acquired or merges with another company, your information may transfer as part of that transaction. We will notify you in advance.
We do not sell, rent, or trade your personal information to anyone.
4. Cookies and tracking
We use a small number of cookies to keep you signed in, remember your preferences, and protect against abuse. We do not use third-party advertising or marketing cookies. We do not use behavioral tracking pixels.
5. Data retention
We keep your data for as long as your account is active. If you cancel your account, we retain your data for up to 30 days so you can reactivate without losing your work, after which it is permanently deleted from our active systems. Encrypted backups may persist for up to 90 additional days before being purged.
You can request immediate deletion at any time by emailing info@turftimefms.com.
6. Your rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct or update inaccurate information.
- Delete your information.
- Export your data in a portable format (CSV).
- Opt out of certain processing activities.

7. Children's privacy
TurfTime is designed so that we do not collect or store information about children. Our Service is intended for adults — club admins, coaches, and team managers. If you believe a child has provided personal information to us, please contact us immediately at info@turftimefms.com and we will investigate and remove the information.
8. International users
TurfTime is operated from the United States and our servers are located in US data centers. If you are accessing the Service from outside the United States, you understand that your information will be transferred to, stored, and processed in the US, where data protection laws may differ from those in your country.
9. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the Service at least 30 days before the changes take effect. The "Last updated" date at the top of this page indicates when this policy was last revised.
